Payroll and HR Representative
OpenTable, Inc.

 

SUMMARY
The Payroll and HR Representative is responsible for processing payroll and providing operational support to the HR department.  Responsible for ensuring Payroll and HR activities are performed in a timely manner and at an exceptional level of quality.  The Payroll and HR Representative is the initial point of contact for employees with questions related to payroll, stock options, and worker’s compensation.

 

RESPONSIBILITIES

 

Payroll:

  • Process payroll for US, Canada, Mexico, United Kingdom, France, Spain, Germany and Japan.

  • Ensure internal controls are in place and review payroll data for accuracy

  • New hire reporting based on individual state requirements

  • Respond to government agencies’ requests for information

  • Design payroll reports via ADP PayExpert

  • Review quarterly and annual payroll tax filing

  • Ensure accurate and timely processing of W2s

Benefits:

  • Prepare and send census date to carriers

  • Audit benefit invoices and process payment requests.

  • Order and distribute commuter checks.

Recruiting and On Board Activities:

  • Ensure job descriptions are complete and accurate; post to corporate website and other job boards.

  • Perform criminal background checks.

  • Prepare offers of employment; create and send new hire packets.

  • Review and pay recruiting agency invoices.

Stock Option Administration:

  • Answer employee inquiries about stock options

  • Produce and distribute stock option agreements, track return of signed agreements and follow-up on outstanding documentation

  • Maintain electronic stock files

  • Process and track all stock exercise activity

  • Assist with employee communication and education materials; answer employee questions and resolve stock exercise/issue problems

HR Reporting:

  • Run standard and custom reports.  Capture organizational data for maintaining HR metrics.

  • Update company organizational chart.

Off Board Activities:

  • Assemble termination paperwork and prepare final paycheck.

  • Respond to unemployment claims.

Employment Verification: 

  • Respond to all requests for employment verification.

Performance Management:

  • Coordinate scheduling of Performance Management training for managers.

  • Collect and scan Performance Review documents.

Worker’s Compensation

  • Process worker’s compensation claims.

  • Ongoing management of open claims.

Cell Phone and Wireless Plan Administration:

  • Order and terminate cell phone and wireless card plans for employees

  • Collaborate with IT to set up goodlink licenses

Other:

  • Special projects and other duties as assigned.

This position has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE

  • BA/BS degree or equivalent work experience
  • A minimum of three years of experience processing payroll, preferably for a company with multiple international locations. 
  • General knowledge of principles and practices within human resources. 
  • Working experience using an HRIS, preferably ADP.
  • Working experience with stock option software, preferably Equity Edge.
  • Proficient in MS Office Suite.
  • Excellent verbal and written communication.

The Payroll Accountant will be responsible for processing of semi-monthly payroll for 300+ salaried and hourly employees, including collection, entering and coordination of payroll data. 

 

ESSENTIAL FUNCTIONS:

 

·       Preparing semi-monthly payroll and accounting journal entries, including reconciliations of payroll related GL accounts.

·       Compile record and analyze payroll transactions. Maintain existing payroll programs and produce payroll reports.

·       Assist with preparation of various audit schedules for the auditors.

·       Work with 401(k) journal entries, edits, and annual census.

·       Processing COBRA transmittal information

·       Processing all benefits including additions and deletions

·       Preparing EDD and Labor Statistic reports

·       Processing insurance forms during open enrollments

·       Maintaining the employee census and updating employee files

·       Preparing manual payroll checks as required

·       Processing new hire paperwork and assisting new hires with the benefit package

·       Preparing year end W-2’s

 

REQUIRED KNOWLEDGE:

 

·       A minimum of 5 years relevant experience

·       Demonstrated mastery of ADP and Excel is required.

·       Proven knowledge of all payroll federal and state taxation laws, regulations and requirements.

·       Solid organizational and strong verbal and communication skills.

·       Exceptional problem solving skills and strong attention to detail.

·       Ability to work with limited supervision, multi-task and meeting deadlines.

 

PREFERRED KNOWLEDGE:

Position Summary:
We are currently looking a Payroll Processor to join our Human Resources team. In this role you will be responsible for preparing and processing a weekly production payroll and semi-monthly non-production multi-state payroll using ADP EV3 application for 1,500 employees. In addition, you will perform a variety of payroll functions which includes maintaining and accurately processing employee changes, setting up direct deposits, processing special payments such as restricted stock options, and performance award dividends.

Key Responsibilities:

  • Thorough understanding of multi state payroll wage/tax laws so as to ensure proper reporting of wages and taxes for Quarterly tax filings and year-end W2 reporting.
  • During the production payroll process, ensure accuracy of payroll data and provide subject mater expert support to field payroll personnel so that payroll at field locations is done in accordance with company policy as well as federal/state/local laws.
  • Accurately set up direct deposit requests and process changes to Federal and State tax forms.
  • Process termination requests sent to HR Operation mail box in preparation for final termination checks and obtain approvals.
  • Extract data from Short Term Disability file and format into preferred file layout.
  • Transfer customized interfaces for special payments such as Wage Works, STD Payments, into the secured shared environment (CITRIX).
  • Input Stock Option notifications from third party vendor using the On-Demand feature in ADP EV3
  • Run various reports using ReportSmith and SAP as it related to auditing payroll prior to confirmation
  • Providing quality customer service, responding to employees questions as it relate to their paychecks.
  • Solid understanding of Garnishment laws to ensure that Garnishments are processed through payroll accurately and timely.
  • Print daily audit reports to review entries and correct if needed using the original source document, audit all changes interfaced into ADP EV3 on a daily basis with appropriate sign off
  • Run weekly and semi monthly payroll audit reports using ReportSmith prior to confirmation.
  • Analysis, research and resolve outstanding items on the TAX900 Exception Report each payroll
  • Pull documentation in preparation for SOX Audit Assessment on a quarterly basis
  • Responsible for ensuring appropriate signatures in compliance with SOX Assessment

Required Qualifications:

  • 5 years payroll processing experience or related experience
  • ADP or PeopleSoft Experience
  • SAP HR Systems experience
  • Strong working knowledge of federal and state laws and regulations and have a comprehensive knowledge of payroll systems.
  • Customer service oriented, able to multi-task and interact in a professional manner with various functions and levels within Clorox to meet business needs.
  • Ability to work with minimal supervision while preserving the strict confidentiality of all data.
  • General understanding of payroll accounting would be a plus
  • Demonstrate strong attention to details, must be self motivated, be team oriented, and customer service driven.
  • Proficient in PC Applications (Microsoft Office preferred)
  • Reportsmith and knowledge of ADP Enterprise Payroll preferred.
  • High school diploma or equivalent or related experience; Some college preferred.

Summary of Position 
The purpose of the Payroll Accountant position is to process weekly payroll in an accurate and timely manner. This includes the calculation of timecard hours and data input, reviewing all actionable items for accuracy and completeness. Additionally this position will be responsible for preparing and distributing reports to requisite departments and studio management as appropriate, as well as assisting in monthly reconciliations. 
 
Responsibilities:

  • Performs the processing of the weekly payroll including the calculation and input of timecards, retroactive payments, and special pays
  • Verifies the accuracy of the employee information interfacing from the Human Resource system (PeopleSoft) for new hires, status changes, rate changes, and payroll deductions; and inputs tax, direct deposit, and deduction information directly into the payroll system 
  • Processes terminations and generates final checks 
  • Generates reports on base and premium pay 
  • Generates reports reporting on payroll deductions and transmits reports to third party 
  • Researches and produces reports for distribution to various departments 
  • Processes the import of financial information into the Oracle Financial system 
  • Generates and distributes checks
  • Other duties as assigned

Education/Experience/Skills: 

  • HS Diploma required 
  • CPP preferred 
  • At least 3 years experience processing payroll 
  • Ability to handle sensitive and confidential material in a discrete and professional manner 
  • Strong knowledge of pay rules and regulations relative to overtime 
  • Must have good interpersonal skills and be customer service oriented 
  • Knowledge and experience using an automated payroll system (Preferably Pro Business Payroll system) 
  • Knowledge and experience using report writing systems preferred 
  • Must have accounting experience and knowledge of accrual methods 
  • Knowledge of Oracle financial system preferred 
  • Proficient in MS Office suite, especially Word and Excel 
  • Excellent written and verbal communication skills with a high attention to detail and quality control 
  • Strong organizational skills with the ability to prioritize and multi-task 
  • Willingness to take initiative and resolve problems 
  • Ability to work with all levels of the organization 
  • Ability to work well independently within a fast paced, dynamic, deadline orientated environment
